Job descriptions of Board members
The IABC Wellington Board is an enthusiastic group of volunteers who are keen to hear from IABC members who may be interested in getting involved on the Board. This page provides brief job descriptions of the board roles.
Our board aims to meet once a month to work on planning events and how to maximise benefits for IABC Wellington members. Board members generally serve in a role for one year with a change over following the February AGM.
President
- Liaise with other chapter Presidents, Asia Pacific and international
- Liaise with other organisations seeking support from IABC
- Prepare and submit Chapter Reports to executive board three times per year (ie Dec, May, August)
- Send welcome email to new members
- Chair monthly board meetings
- Ensure overall governance and adherence to IABC vision and integrity
- Attend regional meeting if possible, or appoint delegates
- Train successor
Vice President
- Train as successor to President
- Support President and conduct meetings in President’s absence
- Liaise with various Directors to ensure success of overall programmes and initiatives
- Recruit volunteers for committees
- Take responsibility for award submissions
- Train successor
Immediate Past President (Senior Delegate)
- Advise and assist President
- Advise chapter board
- Chair nominating committee for incoming board
- Help identify members to participate on International-level committees and work groups
- Serve as the senior delegate of IABC Wellington to the International Association of Business Communicators
Treasurer
- Prepare monthly financial reports for board meetings
- Provide financial status for President’s Chapter Reports
- Keep financial records and bank account information for chapter
- Pay invoices and reimburse board members for approved expenses
- Prepare end of year report for AGM
- Prepare end of year tax return
- Train successor
Secretary
- Organise monthly board meetings
- Seek agenda items from board and then issue agenda for monthly board meetings
- Take and issue minutes for monthly board meetings
- Take RSVPs for events/meetings and informs PD Director and Treasurer
- Maintain records of attendance and provide list to Membership Chair, including new propects
- Assist President with Chapter Report
- Assist Treasurer as required, including taking money at meetings as required
- Assist Professional Development Director and other to coordinate and organise member meetings/events and master classes
- Train successor
Professional Development Director
- Take an overview role of IABC monthly events programme to ensure consistency, variety and alignment with IABC mission
- Prepare professional development programme, including budget (in liaison with other board members)
- Plan/coordinate monthly membership events, proactively seeking speakers and topics
- Coordinate professional development workshops/master classes
- Write promotional material for newsletter editor/Communications Director
- Prepare meeting an workshop notices to members and prospective members (to be distributed by Communications Director)
- Send appropriate thank-yous to speakers
- Provide professional development information for President’s Chapter Reports
- Manage events sub-committee
- Promote IABC accreditation within the chapter and organise support for members in accreditation process
- Train successor
Membership Chair
- Actively recruit new members
- Prepare monthly membership report for board meetings
- Provide membership status for President’s Chapter Reports
- Send email to members about to expire
- Follow up lapsed members
- Develop and coordinate membership recruitment initiatives (e.g. membership month, membership recruitment materials)
- Work with Communications Director to promote membership benefits
- Take proactive approach to increasing IABC Wellington profile with potential members
- Train successor
Communications Director
- Take proactive approach to increasing IABC Wellington profile with potential members
- Plan and implement publicity programme to increase IABC profile
- Prepare budget for communications activities
- Work with President and rest of board to issue monthly newsletter
- Provide communications status for President’s Chapter Reports
- Prepare email notices of upcoming meetings/events to members (working with PD Director)

Webmaster
- Maintain and update chapter website
- Plan technology related programmes in cooperation with Communications Director
Sponsorship Director
- Solicit cash and in-kind sponsorship from corporations and vendors for chapter projects and events
- Manage sponsorship agreements / relationships
- Explore fund-raising opportunities for chapter
Research and Development Director
- Identify research and development opportunities to help position IABC as the authority on all things related to the communications profession
- Identify opportunities to work with IABC Research Foundation
- Develop and manage relationships with local universities and other professional associations, looking for opportunities to work together for mutual benefit

Events sub-committee
- Assist the Professional Development Director to organize PD events including:
- Find and booking suitable venues
- Gather prices etc for event budgets
- Confirm arrangements
- Set up before and clearing up after events
- Welcome members and taking names/registrations
